  Export Procedure - Sea Freight
  1. Reservation of Shipping Space with Shipping Agent

3 Copies of Shipping Notes should be submitted
2 Copies are returned (Captain’s Copy.)

2. For Customs Approval
Customs Declaration Forms 4 copies (CUSDEC 1& CUSDEC 2)
Statistical Copy
Warrant
Parties
Security
Shipping Note (Captains Copy)
Invoice
Packing List
License/Certificates (where necessary)

3. Cargo Examination (where necessary)
Small Shipment (LCL) - Examined at the CFS/or exporters premises
Large quantity (FCL) - Panel examination Customs Officers visit the Factory
Customs Returns following Documents to exporter after their examination
Customs Declarations 2 Copies
Parties Copy
Security

4. To Sri Lanka Ports Authority
For SLPA Charges
SLPA Payments (Warfage, Wharf handling Chargers Fork lift and Heavy Lift Chargers)

3 Copies of Shipping Notes should be submitted to SLPA Finance Division
6 Copies of Cargo Dispatch Notes
5 Copies of Shipping Notes - For boat note passing with the SLPA
(With Captains Copy and Charges pay Copy)
Customs declaration Form
(Security Copy)

5. Move Cargo to the Port
SLPA GATE (At the time of arrival)
Cargo Dispatch Note 1
Customs Declaration (Security Copy)
Cooling period - 24 ours early
Shipping Note
SLPA Export office - To pass Boat Notes
SLPA Customs Office - Inside the Port
Shipping Note
Cargo dispatch Notes

6. Documents passed for loading

7. Obtain mates' receipt & bill of lading
After Cargo has been loaded, Captain of the Ship Signs on the Shipping note
This Shipping note is called Mate Receipt. The exporter should collect the Mate Receipt from the SLPA exports office.

Produce Mate Receipt to the Shipping Agent and collect the final Bill of Lading

8. Forward following documents to the bank to obtain payment for the goods exported Bill of Lading
Invoice
Insurance Policy (if the value included CIF)
Letter of Credit
In addition, the following documents should be submitted in terms of the Letter of Credit
Packing List
Certificate of Origin
Quality Certificate
Health Certificate
Phytosanitary Certificate
Fumigation Certificate
